Privacy Policy

1. Who we are

WorkHub is provided by Davis Productions LLC, a Utah limited liability company ("we", "us"). This policy covers this website and the WorkHub service. It explains what information we collect, how we use it and the choices you have.

2. What we collect

Information you give us

• Account details: company name, your name, work email address and password (stored only as a secure hash).
• Billing details: the name on your card, billing ZIP code, your plan, and the card brand and last four digits. See payment card data below.
• Messages to us: anything you send when you email us for support.

Information collected automatically

• Log data: IP address, browser type, pages requested and timestamps, kept in server logs for security and troubleshooting.
• Activity in the app: an audit log of important actions in your workspace (for example sign-ins, role changes and billing changes), which your administrators can review.

3. Payment card data

Card payments are handled by our payment processor, USAePay. When you enter your card, the card fields are served directly by the processor, and your card number goes straight to them. WorkHub never receives or stores your full card number or security code.

The processor gives us a token that lets us charge the card for your subscription, plus the card brand and last four digits so we can show you which card is on file.

4. How we use information

• to create and run your account and workspace;
• to bill your subscription, including charging your card when your trial ends and at each renewal;
• to send service emails, such as receipts, failed payment notices, security alerts and important changes;
• to provide support when you ask for it;
• to keep the service secure, prevent abuse and fix problems;
• to meet legal and accounting obligations.

We don't sell your personal information or share it for advertising.

5. Your workspace content

Tickets, emails, projects, messages, files, time entries, invoices and other content you and your users add to WorkHub belong to you. This often includes information about your own customers and clients. We process this content on your behalf only to provide the service to you, and you're responsible for having the right to collect and use it.

Each company's workspace is kept separate, and its content is only visible to the people that company invites. We access workspace content only when needed to provide support you've asked for, keep the service secure, or comply with the law.

6. Who we share it with

We use a small number of service providers (subprocessors) to run WorkHub. They may only use information to provide their service to us.

• Payment processing: USAePay, to process card payments.
• Hosting: our web hosting and infrastructure provider, which stores the service and its data in the United States.
• Email delivery: the email services we use to send and receive service and support email, including email sent from your support inbox.
• Fonts on this website: Google Fonts, which receives your IP address when your browser loads the site's typeface.

When you choose to connect another service, such as Google Calendar, Reclaim or an AI agent, we share the data needed for that connection with that provider at your direction.

We may also disclose information if required by law, to protect the rights and safety of our users or the public, or as part of a merger or sale of the business (in which case this policy will continue to apply to your information).

7. AI agents you connect

WorkHub lets you connect an AI agent such as Claude, made by Anthropic. Connecting one is optional. If you do, the agent can read the tickets, files, custom fields and knowledge base articles it's given access to, and can email your customers. That data is processed by the AI provider under your account and that provider's terms and privacy policy. You can disconnect the agent or turn it off with the kill switch at any time.

8. Cookies and tracking

We use only the cookies needed to sign you in and keep your session secure. This website doesn't use advertising cookies, analytics trackers or third-party tracking pixels.

9. How long we keep it

We keep account and workspace data for as long as your subscription is active. After it ends, we keep the data for a limited period so you can request an export, and then delete it. We keep billing records for as long as tax and accounting law requires. Server logs are kept for a limited time for security purposes.

10. Security

We protect information with measures that include encrypted connections (HTTPS), hashed passwords, encrypted storage of payment tokens, role-based access controls, an audit log and separation of each company's data. No system is perfectly secure, but we work to protect your information and will notify you as required by law if a breach affects it.

11. Your choices and rights

You can ask us to access, correct, export or delete your personal information, and you can close your account at any time. Depending on where you live, you may have additional rights under local law. Email hello@workhubsuite.com and we'll respond within a reasonable time.

If you're a customer or contact of a business that uses WorkHub, that business controls your information in its workspace. Please contact them first; we'll help them respond to your request.

12. Children

WorkHub is a business service and isn't directed at children under 16. We don't knowingly collect personal information from children.

13. Changes to this policy

We may update this policy as WorkHub changes. If we make a material change, we'll email account administrators before it takes effect and update the date at the top of this page.
